Privacy Policy

Last updated: August 2026

The Roots Neuropathy, a program of The Roots Health Centers (“we,” “our,” or “us”) is committed to protecting the privacy and security of your personal information. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you visit our website, use our services, or interact with us.

Information We Collect

Personal Information

We may collect the following types of personal information:

  • Name, email address, phone number, and mailing address
  • Date of birth and demographic information
  • Insurance and billing information
  • Health and medical history, symptoms, and treatment records
  • Emergency contact information

Automatically Collected Information

When you visit our website, we may automatically collect:

  • IP address and general geographic location
  • Browser type, device type, and operating system
  • Pages viewed, time spent, and referral source
  • Cookies and similar tracking technologies

How We Use Your Information

We use the information we collect to:

  • Provide, maintain, and improve our healthcare services
  • Schedule appointments and process billing
  • Communicate with you about your care, appointments, and account
  • Send health education materials and practice updates (with your consent)
  • Respond to inquiries submitted through our website
  • Comply with legal obligations and healthcare regulations
  • Analyze website traffic and improve user experience

Protected Health Information (PHI)

Your health information is protected under the Health Insurance Portability and Accountability Act (HIPAA). We maintain administrative, technical, and physical safeguards to protect your PHI. For more details about how we handle your health information, please refer to our Notice of Privacy Practices, available at our office.

Information Sharing

We do not sell your personal information. We may share your information with:

  • Healthcare providers involved in your care (with your authorization)
  • Insurance companies for billing purposes
  • Service providers who assist in operating our website and business
  • Law enforcement or regulatory agencies as required by law

Email Newsletter

If you add your email address to our newsletter, here is exactly what that does and does not mean:

  • We send roughly one email a month with health information, clinic news, and event invitations. We do not run automated drip sequences.
  • Every email carries a one-click unsubscribe link. It takes effect immediately — no login, no reply, and no confirmation step. You can also ask us to remove you by phone or in person.
  • We do not sell, rent, or share your email address. It is not uploaded to advertising platforms and is not used to build advertising audiences.
  • Subscribing is entirely separate from your care. It does not affect treatment, and the newsletter is never used to send anything about your appointments or health records. Appointment reminders and replies to messages you send us are separate and continue regardless.
  • If you tell us which topics you want to hear about, we store those choices and the optional note you leave, and use them only to decide which of our own emails to send you. They are preferences, not health information: the options describe what you want to READ, and we do not ask, infer, or record whether you have any condition. They are never shared or used for advertising.
  • We keep a record of when and where you subscribed, so we can show what you were told at the time you consented.

Cookies and Tracking

Our website uses cookies and similar technologies to enhance your browsing experience, analyze site traffic, and serve relevant content. You can manage cookie preferences through your browser settings. We use Google Analytics and Meta Pixel for website analytics and advertising measurement.

Third-Party Links

Our website may contain links to third-party websites (such as scheduling platforms, supplement stores, and social media). We are not responsible for the privacy practices of these external sites and encourage you to review their privacy policies.

Data Security

We implement reasonable security measures to protect your personal information, including encryption, secure servers, and access controls. However, no method of electronic transmission or storage is 100% secure, and we cannot guarantee absolute security.

Your Rights

Depending on your jurisdiction, you may have the right to:

  • Access the personal information we hold about you
  • Request correction of inaccurate information
  • Request deletion of your personal information
  • Opt out of marketing communications
  • Request a copy of your health records

Children's Privacy

While we provide healthcare services to patients of all ages, our website is not directed at children under 13. We do not knowingly collect personal information from children under 13 through our website without parental consent.

Changes to This Policy

We may update this Privacy Policy from time to time. Changes will be posted on this page with an updated revision date. We encourage you to review this policy periodically.
